VR Hub / VRSync setup and usage

Subscribers to the VRSync availability synchroniztion service will view and manage their properties and configuration at the VR Hub. This web application has a new User Interface and makes setting up your properties and advertiser account information very easy.

Help can be found there by hovering on the headings of table columns, buttons or wherever you see a green triangle in the top-right. Click the "Show tips" button on the top-right of the page to get the latest help about the page you are viewing.

Setup Guide for specific advertisers

In general, you only need to import availability into the system if changes in availability can be made there - usually by online bookings or some other update that is outside of the VRSync system.

AirBnB Synchronization

If you get online bookings here:

Go to Synchronization page and add the iCal feed from this advertiser to the list of iCal sources.

To get the iCal URL needed look at the "Calendar Exporting" section here.

Go to your AirBnB account and add the MyVRZone iCal URL1.

For how to set this up at the advertising site look at the "Calendar Importing" section here.

The availability will be updated on a schedule set by the advertsing site.

HomeAway Synchronization

Including VRBO, Abritel, FeWo-Direkt, Vacation Rentals and other regional sites

 

Go to the VR Hub Synchronization page then:

Either:

A/ Direct Sync
Select the advertising site and add and test your login credentials.

Then, for each property you want to import, select the Advertiser Property Name and check the Import check-box

or

B/ ICAL Sync
For each HomeAway site you log into to mange properties, add the iCal URL (given when you export your calendar) for the property to the list of iCal sources in the VR Hub. For help on finding the iCal URL at the advertising site see the "Export HomeAway Calendar" section here.


Note: The HomeAway iCal feed includes reservations that are Tentative even though they are non-blocking. VRSync will remove these automatically so that you will not see blocked periods.

Go to the VR Hub Synchronizationpage then:

Either:

A/ Direct Sync
Go to the Synchronization page, add your login credentials and select the Advertiser Property Identifierfor each property and then check the Export check-box for each property that you want to update the availability for. This will update FK at each sync (regular or forced).

or

B/ICAL Sync
Go to the advertiser site, then:

Copy/paste the MyVRZone iCal URL1 into the "Import Calendar" box for the property calendar. For help on setting this up at the advertising site see the "Import External Calendar" section here.

TripAdvisor Synchronization

Go to the Synchronization page then:

Select the advertising site and add and test your login credentials.

Then, for each property you want to import, select the Advertiser Property Name and check the Import check-box.

Go to the Calendar for your property at your TA account, click "connect a calendar" link beside the "My calendar is up to date" button. Then add the MyVRZone iCal URL1 as an Other calendar.

The availability will be updated on a schedule set by the advertsing site.

VacationHomeRentals Synchronization

If you take online bookings here:

Add the iCal feed for your property at VHR into the iCal section of the Synchronization page. You can find the iCal URL on the Availability page just above and to the right of the calendar.

Go to your VHR account and add the MyVRZone iCal URL1 as an Other external calendar. Click on the "Import an External Calendar" link just above and to the left of the calendar on the Availability page.

The availability will be updated on a schedule set by the advertsing site.

Testing synchronization

  1. Go to the Dashboard and run a full sync using the "Sync All Properties" button.
  2. Wait for the email notification to see what happened.
  3. If there are issues then carefully read the information in the email to help figure out what the problem may be.

Listing site login / Suspicious Login Acknowledgement

Note that some synchronizations involve logging in to your account and you may be requested by the listing site to confirm that this activity was you if they think that it's suspicious. So that you remember to say it's OK when this service does that you are required to complete a Suspicious Login Acknowledgement every-so-often.

Troubleshooting

There are many potential sources of issue with the synchronization as it depends on other sites being operational and working in a particular way. Most issues are temporary - a failed synchronization will be attempted again an hour later, then in 2 hours, then 4 hours, 8 hours etc until every 24 hours for consistent/repeated issues.

Here is a list of the most common issues:

Symptom Cause What to do
Any issue The remote site may be down, slow or have changed in some way.

Read the text in the email report carefully. Often, the issue requires an owner action (eg. password change at advertiser, conflicting reservation).

If you get the same error every time and it's not telling you that there's a login or reservation conflict issue then report this to MyVRZone.

Otherwise you can ignore it.

Login failure Either you have changed your login credentials at the advertiser or there is something you may need to do at the advertiser. Log in to your advertiser account directly to see if everything looks OK. Ensure that the login credentials in your MyVRZone account match.
Property cannot be found The property may no longer exist at the advertiser or the Advertiser Property Name in the MyVRZone setup may be wrong.

Log in to your advertiser account directly to check.

If that is OK, then go to the Synchronization page, click on the advertiser that has the issue and then click on the "Refresh Identifier List from Listing site" button to reload the Advertiser Property Names. Then go to the line of the failing property and select the Advertiser Property Name from the list again.

If the Advertiser Property Name is not there or it's the same as before then report this to MyVRZone.

HomeAway sites in general Some unreliability of the HA sites/servers in responding to operations. These are the same issues that you may experience when logged in directly.

Provided there's no indication in the notification email that the owner needs to handle the issue, a future sync may just work.

If you get the same issue with the same property more than 5 times then report this to MyVRZone.

HomeAway site cannot add new reservations with dates in the past. You can't do this from your account as it's not possible to select past dates.

Complain to HA that this is a bit silly.

You can split the reservation in question so that the latest part only has dates in the future and then run the sync again. It will not be 100% correct/accurate but you can restore it later once the departure date has passed.

Not changing a reservation at a listing site because MyVRZone did not create it. The reservation at the listing site was not created by MyVRZone and it may be an online booking but is in conflict with the Net Availability.

You must handle this manually as it's not clear what is right:

  • Review the reservation in questions and figure out what is correct - the one at the advertsier or the one(s) at MyVRZone that are in conflict.
  • Manually change the reservation(s) at MyVRZone or the advertiser so that things are consisten again.
  • Remember to set the "Managed At" field in a MyVRZone reservation to the advertsiser if it's an online booking there.
