Setup>Main >> Discounts/Surcharges Page (Platinum Plan).

MenuCreate discount and surcharge "adjustments" that can be applied automatically to the rent and/or refundable amount (eg. security deposit) in your quotations. The following types are supported:

  • Promotional Code discounts
    • With start and/or end dates
  • Automatic discounts for:
    • Late Availability
    • Long Stay
    • Early Booking
    • Low Occupancy
    • Repeat Guest
  • Automatic surcharges for:
    • High Occupancy
    • Short Stay

Rade Adjustment setup pageThere is no restriction on the number of adjustments you can have. For example, you can define 3 Late Availability discounts with shorter days-before-arrival to give increasing amounts of discount. The system will choose the highest applicable discount.

Discounts and Surcharges are tracked separately so the increases and reductions are clear (a 10% discount and a 10% surcharge net to a 0% change, but both are shown). The Quotes created for each inquiry now show an additional section for sucharges.

What if they don't book the same day as the quote and the discounts change?

Once the quotation is created and sent, the inquirer will be able to book with the discounts/surcharges until the quote expires.

Quote expiration is set in the Setup>Main >> Account>Info tab (see the "Quote Expiray Days" field). By default, the quote is valid for that length of time. You should adjust this to your own comfort level.

Quotation fields

The discount and surcharge information is shown to the left side of each quote.

An override field is also shown below the Discounts and Surcharges, where you can change the expiry date at the time of the quotation. This new field will also be filled in if a Promo Code expiration date is before the default expiration date.

A new field called "Discount the refundable amount by" has also been added (not shown below) that allows you to discount the refundable amount by the given percentage.

Multiple Adjustments applying at the same time

You can choose whether an adjustment should be "exclusive" or not.

  • If exclusive (the default) then it can only appear by itself - the maximum adjustment amount will be chosen from all of those that apply.
  • If not exclusive then multiple discounts or multiple surcharges can apply at the same time and will be added together.

In the case where there are multiple non-exclusives and some exclusives, the non-exclusives are added together and then the biggest adjustment of that sum and the other exclusives will be chosen - for example:

Multiple Adjustments - Example 1, assume the following discounts apply:

  • 5% Late availability - non-exclusive
  • 3% Low occupancy - non-exclusive
  • 6% Promo Code - exclusive

The discount used will be the biggest of (5+3) and 6. So it will show up as an 8% discount for Late Availability+Low Occupancy.

Multiple Adjustments - Example 2, assume the following discounts apply:

  • 2% Late availability - non-exclusive
  • 3% Low occupancy - non-exclusive
  • 6% Promo Code - exclusive

The discount used will be the biggest of (2+3) and 6. So it will show up as an 6% discount for the Promo Code.

Changing an automatic adjustment in the quotation

Once an automatic discount or surcharge has been applied in a quote the amounts will not change unless you change them manually. This is so that you can always override what the system has added. If you want to alter/override the defaults then just edit the text and click "Apply Changes".

If you want to have the system re-apply the default adjustment then blank out the Fixed and Percentage amounts for the Discounts and/or Surcharges using the "Reset" links and click  "Apply Changes". The system will insert the default values again.

NOTEIf you view a request and then add a Promo Code manually then the system will NOT add the promo code discount after the update. You must manually reset the discount field and click "Apply Changes" to have it be applied automatically and re-calculate the whole discount field. This is because the amount "0.0" will be placed there if there is no other discount and a non-blank field takes precedence.

Fixed Amount or Percentage?

Entering a non-zero Percentage will apply that percentage to the pre-tax rental amount as the adjustment.

Entering a zero Percentage and non-zero Fixed amount will simply apply that fixed amount as the adjustment.

Adjustment types

Note that while an adjustment listed here may be valid for a particular request, if there are more than one valid at the same time then you may not see all of them - see the "Multiple Adjustments applying at the same time" section above.

Promotional Code discounts

These have optional start and end dates so you can determine when they apply and not have to remember to turn them off.

The actual code comes in from the request itself, so it's expected that the inquirer is using the MVRZ request form on your website or a Partner Listing Site so that it can be entered there. Otherwise you can enter the code yourself. The system will check the code against the ones that are active before considering the discount.

Automatic Discounts

Late Availability
Applies a discount when the arrival date is less than or equal to the specified number of days from now.

Long Stay
Applies a discount when the length of the stay is more than or equal to the specified number of days 
NOTE: There is no dependence on the actual number of days over the specified number

Early Booking
Applies a discount when the arrival date is more than or equal to the specified number of days from now.
NOTE: There is no dependence on the actual number of days over the specified number

Low Occupancy
Applies a discount when the number of people in the group is less than or equal to the specified number of people
NOTE: There is no dependence on the actual number of people below the specified number

Repeat Guest
Applies a discount when the guest has completed a reservation with you before and is within the optionally specified number of days since the latest departure date.

Automatic Surcharges

High Occupancy
Applies a surcharge when the number of people in the group is more than or equal to the specified number of people
NOTE: There is no dependence on the number of people over the specified number

Short Stay
Applies a surcharge when the length of the stay is less than or equal to the specified number of days
NOTE: There is no dependence on the number of days under the specified number

How to Apply - once or per night or per guest?

By default, the amount you enter into the Percentage Amount or Fixed Amount field will be applied once. You can also choose to apply it per night, per occupant, or per night per occupant if you want.

For some Adjustment Types, you can also select other ways to apply it that depend on the condition numbers that you've entered. Here is a summary of the How To Apply options:

  • Once Per Quote
    Simply adjusts the quote by the fixed or percentage amount
  • Per Night
    Multiplies the fixed amount or percentage by the number of nights before applying to the quote
  • Per Occupant
    Multiplies the fixed amount or percentage by the number of adults+children before applying to the quote
  • Per Occupant Per Night
    Multiplies the fixed amount or percentage by the number of nights and by the number of adults+children before applying to the quote
  • Per Occupant UnderLow Occupancy Discount adjustment type only
    Multiplies the fixed amount or percentage by the number of adults+children below the number specified for the Low Occupancy before applying to the quote. For Example: If there are 4 adults+children in the request and the discount is specified as requiring 6 people or less, then the amounts will be multiplied by 3 (6-4+1).
  • Per Occupant Under Per NightLow Occupancy Discount adjustment type only
    Similar to above, but also multiplied by the number of nights too.
  • Per Occupant OverHigh Occupancy Surcharge adjustment type only
    Multiplies the fixed amount or percentage by the number of adults+children above the number specified for the High Occupancy before applying to the quote. For Example: If there are 16 adults+children in the request and the surcharge is specified as requiring 12 people or more, then the amounts will be multiplied by 5 (16-12+1).
  • Per Occupant Over Per NightHigh Occupancy Surcharge adjustment type only
    Similar to above, but also multiplied by the number of nights too.
  • Per Night OverLong Stay Discount adjustment type only
    Multiplies the fixed amount or percentage by the number of nights over the number specified for the Long Stay before applying to the quote. For Example: If there are 14 nights in the request and the discount is specified as requiring 8 nights or more, then the amounts will be multiplied by 7 (14-8+1).
  • Per Night Over Per OccupantLong Stay Discount adjustment type only
    Similar to above, but also multiplied by the number of adults+children too.
  • Per Night UnderShort Stay Surcharge adjustment type only
    Multiplies the fixed amount or percentage by the number of nights under the number specified for the Short Stay before applying to the quote. For Example: If there are 4 nights in the request and the surcharge is specified for 6 nights or less, then the amounts will be multiplied by 3 (6-4+1).
  • Per Night Under Per OccupantShort Stay Surcharge adjustment type only
    Similar to above, but also multiplied by the number of adults+children too.

How much to discount the refundable amount by

You can discount the refundable amount (eg Security deposit) in each adjustment you define. This is designed for cases where, say, a repeat guest is not required to provide a security deposit but first-time guests are. For this case, use the Repeat Guest type and enter "100" for the percentage in the "Refundable Discount Percent" field in order to remove it totally.

Leaving this blank or as zero will leave it unadjusted.

NOTE that this is entered as a percentage (rather than an absolute amount) so that the refundable amount is affected in the same way for mutliple currencies.

Examples

Multiple Late Availability Rates

To set late availability to give:

  • 5% if within 60 days of arrival
  • 10% if within 30 days of arrival
  • 20% if within 14 days of arrival

Set up 3 "Late Availability" Adjustments with their own Name and Display name:

  1. Percent Amount=5, Max days before arrival=60, Name=LA60, Display Name="Late Availability 60days"
  2. Percent Amount=10, Max days before arrival=30, Name=LA30, Display Name="Late Availability 30 days"
  3. Percent Amount=20, Max days before arrival=14, Name=LA14, Display Name="Late Availability 14 days"

You may choose to change the Display Name to show how many days applies or not.
