Vacation Rental Management for busy people!

Integrated foreign language translation

Language Translation

¿Tienes disponibilidad? ... Haben Sie freie Zimmer? ... Avez-vous des disponibilités? ... Você tem disponibilidade?

Wouldn't it be great if we all spoke the same language or if we were able to speak other languages easily? Some owners can offer a great and distinctive service through fluency in many languages but most find that understanding and responding to an inquiry in a foreign language is just not practical without some help.

How do you respond to these requests?

This is how I normally deal with these requests:

  1. Copy the text to translate from the email
  2. Open my browser at my favorite online translation tool (Google Translate)
  3. Paste the text into the translator and see the translation
  4. Write a response in English
  5. Copy my English response and paste it into the online translator to see it in the inquirer's language
  6. Copy the translation of the response and paste it into the same email as the English response
  7. Send the response back that contains both the English version and the Translation

This is laborious but OK to do once in a while. Most of our guests have been able to speak or understand English fairly well so this had not been required very often. This is not the case any more.

What changed?

Our recent guests were much less fluent in English and it took way more time to ensure that both we and they had understood things correctly - the terms, how to get to the home, how to operate the alarm etc. In the end they were very happy with their stay but it was quite difficult for them to complete the online feedback form with the English questions.

All of our other standard email reminders and communications are in English, along with the online view of their reservation in the Guest Zone - it has to be difficult for them looking at so many responses.

I can only expect that this will get more and more common as the industry picks up and country's economies improve and make it easier to travel the world.

As communication is such an important part of our industry I figured it was time to make it easier for guests to translate all of our communications and for me to understand theirs. My efforts to automate this are now complete and have lead to the following solution for all MyVRZone users...

MyVRZone.com integrated language translation

Easy translation is now integrated with the MyVRZone.com online vacation rental management software tools for all users to take advantage of. Here are the benefits that Owners and Guests can realize...

Benefits for the Owner

  1. Each incoming email can be translated with a few clicks right from the Quote page
  2. No more messing around with copying and pasting into and out of a translator
  3. Responses are written in English and the recipient gets to translate it into their preferred language by clicking on the link at the top of the email
    See example here
  4. Past emails can be translated from the Management System's Reservation history tab or the Inquiry history list
  5. Pages can be translated into a specific language if you want to provide different URLs/links to different people (see the examples below)
  6. MyVRZone.com forms (see list here) can be integrated on your own website with or without translation using an IFRAME that points to, for example:
  7. The Request/Inquiry form - with translation (defaulting to Czech) - without translation
  8. The Booking form - with translation (defaulting to Greek) - without translation
  9. The Payment form - with translation (defaulting to German) - without translation

Benefits for the Guest/Inquirer

  1. They choose the language - most are available
  2. All emails from the owner are pre-pended with a URL that takes them to an online version of the email that can then be translated
    See Portuguese example here
  3. The Guest Book and Feedback Form are translatable - available to every user of the system
    See German example here
  4. If you have the integrated payments then that too can be translated
    See French example here
  5. The whole Mini-site (a stepping stone to your own website) is translatable for Platinum subscribers
    See Spanish example here
  6. The whole Guest Zone is translatable for Platinum subscribers. This is where guests with reservations get to see the status of their reservation and can make payments
    See Italian example here

Your own website

MyVRZone.com forms (see list here) can be integrated on your own website with or without translation using an IFRAME that points to, for example:

  1. The Request/Inquiry form - with translation (defaulting to Czech) - without translation
  2. The Booking form - with translation (defaulting to Greek) - without translation
  3. The Payment form - with translation (defaulting to German) - without translation

Place and size the IFRAME on your site, set the URL and you're done. See how to create the URLs here.

How does it work, how do I use it?

Please see the following MyVRZone.com knowledgebase entry for more detailed information on usage and the caveats.
